Roles in OJS
OJS has several predefined "roles" that are assigned to users who perform different functions in the e-journal system. A user assigned to a role will see a specific interface when he/she logs in to the journal, which will help the user navigate the system and perform their assigned functions. OJS has a number of Editorial Roles, which must be assigned by the Journal Manager, and several additional roles that participate in the editorial process more tangentially.
Any given user can hold more than one role with a journal. So, for instance, a journal's Journal Manager might also be the journal's Editor.
Additionally, a Journal Manager can set up the journal in such a way that Editors and Section Editors always perform the three technical editing roles of Copyeditor, Layout Editor, and Proofreader.
Editorial Roles
Journal Manager
The Journal Manager sets up the journal and staff the other editorial roles. Setting up the journal requires going through the 5-step initial setup process and performing other management tasks.
If you are the person who created the journal through the Services Request System, you are automatically designated the journal's Journal Manager.
The following activities are the purview of the Journal Manager:
- Setting and entering policies for the journal
- Entering contact information and journal details
- Customizing the look of the journal
- Managing and Enrolling Users
- Creating announcements
- Creating journal sections
- Editing default e-mails
- Configuring the Reading Tools
- Generating journal reports
Editor
The Editor oversees the entire editorial process from making an initial assessment of submissions, assigning to them to Section Editors for review and/or editing, creating issues and scheduling content for those issues, and publishing the journal. The following activities are the purview of the Editor:
Section Editor
The Section Editor manages the Review and Editing processes (sometimes just the Review process, depending on the journal's policies). The following activities are the purview of the section Editor:
- Assign submissions to and work with Reviewers
- Making decisions about submission
- Act as copyeditor, layout editor, and proofreader for section articles (depending on journal policy)
Copyeditor
The Copyeditor edits articles and other submissions for clarity, grammar, and style, producing a clean copy of the submission to the Layout Editor. Depending on journal policy, an Editor or Section Editor may perform the Copyeditor's duties.
Layout Editor
The Layout Editor takes the copyedited versions of submissions and turns them into galley files in HTML, PDF, PS, or whatever final format the journal has decided to use for its published articles. Depending on journal policy, an Editor or Section Editor may perform the Layout Editor's duties.
Proofreader
The Proofreader checks galleys produced by the Layout Editor for typos and formatting errors. Depending on journal policy, an Editor or Section Editor may perform the Proofreader's duties.
Other Roles
Site Administrator
The Site Administrator installs and administers the OJS software, generating journal sites as they are needed. The Texas Digital Library acts as the Site Administrator for all journals of the TDL Electronic Press.
Reader
Readers constitute a formal role in the OJS system. Readers of a journal can register to receive updates on new issues from the journal. Registration also provides other functionality for readers (depending on journal setup) such as the ability to comment on and forward, articles.
Author
Authors must be registered with a journal in order to submit articles electronically via the OJS submission interface.
If an article is submitted and accepted, Authors come into the system at various points to perform copyediting and proofreading tasks as part of the Submissions Editing process.
Reviewer
Reviewers are selected by the Journals/Section Editor Overview to conduct a review of a submission and make a recommendation for or against publication. Depending on journal setup, Reviewers will enter their reviews and recommendations directly into the OJS system.
